Privacy Policy

Client One is a business management platform — CRM, inventory, billing, messaging and AI-powered automations — available on the web and as an iPhone and Android app. This policy explains what data Client One processes, for what purpose, who it is shared with, and how you can delete it. It applies equally to the web and the app.

What data we process

  • Account data: name, email, phone, profile photo if you upload one, language and appearance preferences. Passwords are never stored in plain text.
  • Data the business enters into its workspace: contacts and customers, conversations, appointments, tasks, inventory, quotes, invoices, recorded payments, expenses, documents and attachments. The business is responsible for that data; Client One processes it on the business's behalf.
  • Connected messaging: when a business connects WhatsApp, Facebook or Instagram, Client One receives from Meta the name and photo of the connected page or account, and the messages its customers send through those channels.
  • Plan billing data: Client One plan payments are processed by Stripe. Client One does not store the full card number.
  • Technical data: what is needed to keep the session open and protect the account, and usage logs for the AI features, so they can be billed.

Mobile app permissions

The app only asks for a permission when you use the feature that needs it, and you can decline it:

  • Camera: to photograph an inventory item or an expense receipt.
  • Photos: to attach images to a product, a post or a message.
  • Microphone: to record a voice note in a conversation with a customer.
  • Notifications: to alert you of messages, tasks and appointments.

Photos, audio and files are only uploaded when you attach them. Client One does not access your photo library, camera or microphone in the background, does not use your location, and does not track you across other companies' apps or websites.

What we use it for

Only to provide the service: so the business can manage its customers, conversations, inventory and billing; to send the alerts you request; to bill the plan; and to provide support. Client One does not sell your data or use it for advertising.

Artificial intelligence

When a business turns on a bot or an AI feature, the text needed to respond — for example a customer's message and the business information the bot needs to know — is sent to the model provider (OpenAI, Anthropic, Google or Groq) solely to generate that response. Client One does not authorize those providers to use that data to train their models.

Who we share it with

Only with the providers that make the service run, and only what each one needs:

  • Supabase: database, files and sign-in.
  • Vercel: web and server hosting.
  • Stripe: plan billing.
  • Meta: WhatsApp, Facebook and Instagram, when the business connects them.
  • OpenAI, Anthropic, Google and Groq: AI features.
  • Resend: service emails.
  • Google Maps: address search and selection.
  • Apple and Google: push notification delivery.

These providers may be located in the United States or other countries. We may also disclose data if a competent authority requires it by law.

Security

Communications travel encrypted. Each business can only see the data in its own workspace, and within it each person sees what their permissions allow. Meta credentials and other secrets are stored encrypted.

Retention

For as long as the account is active. When an account is deleted, it closes immediately and all its data is permanently erased after 30 days. If a business disconnects a Meta integration, its credentials are destroyed immediately. We may retain what the law requires us to keep, such as billing records.

How to delete your account

  • In the app: Plan › Delete account.
  • On the web: Settings › Account › Delete account.
  • If your account is managed by an agency, you can request deactivation from those same places: the agency is notified and is the one who deletes it.
  • You can also request it by email at info@cloysystem.com.

Your rights

You can request access, correction, a copy or deletion of your personal data, and object to its processing, by writing to info@cloysystem.com. If your data was entered by a business that uses Client One, you may also contact that business directly.

Children

Client One is a tool for businesses and is not directed at anyone under 18. We do not knowingly collect data from minors.

Changes to this policy

If we change this policy, we will update the date above and notify you within the service when the change is significant.
